Who we are

Fox Run Systems ("Fox Run," "we," "us") provides a customer relationship and marketing automation platform for insurance agencies, including lead management, call handling, AI-generated call summaries, automated follow-up, review requests, and reporting (the "Service"). This policy explains what information we collect through our website and the Service, and how we use it.

Information we collect

We collect information in three ways:

  • Account information you or your agency provide when you sign up, including business name, contact details, billing information, and login credentials.
  • Customer data your agency loads into or generates within the Service — contacts, leads, opportunities, notes, call recordings, call transcripts and AI-generated summaries, text and email correspondence, and review activity. This data belongs to your agency; we process it on your behalf to provide the Service.
  • Usage and device data collected automatically, such as IP address, browser type, pages viewed, and general usage patterns, used to operate and improve the Service and this website.

Call recording and AI processing

Fox Run can record calls and generate AI summaries covering key discussion points, customer intent, commitments made, and next actions. Recording a call may require the consent of one or both parties depending on the state the call takes place in. Your agency, not Fox Run, is responsible for obtaining any consent required by law before recording calls — including configuring and using any recording-disclosure features the Service provides. Fox Run processes recordings and transcripts, including through third-party AI providers acting on our behalf, solely to deliver the summarization features of the Service.

How we use information

We use the information above to provide, maintain, and improve the Service; to process payments and manage subscriptions; to communicate with you about your account; to provide customer support; and to comply with legal obligations. We do not sell personal information.

Sharing

We share information with service providers who help us operate the Service (such as our underlying CRM/automation platform, hosting, telephony, email delivery, and AI processing providers), each under obligations to protect it, and when required by law or to protect our rights and the safety of our users.

Data retention and security

We retain account and customer data for as long as your subscription is active, plus a reasonable period afterward for legal and operational purposes, and delete or anonymize it thereafter on request. We use commercially reasonable administrative, technical, and physical safeguards to protect information, but no method of transmission or storage is completely secure.

Your choices

You can access, correct, export, or request deletion of your account information by contacting us. If your agency's customers wish to exercise privacy rights over their own personal data, please direct them to your agency, which controls that data; we will assist your agency in responding as needed.

Children's privacy

The Service and this website are directed at businesses and are not intended for use by children, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above.

Terms of Service

Agreement to terms

These Terms of Service ("Terms") govern access to and use of the Fox Run platform (the "Service"), operated by Fox Run Systems ("Fox Run," "we," "us"). By creating an account or using the Service, your agency ("Customer," "you") agrees to these Terms.

The Service

Fox Run provides customer relationship management and marketing automation tools for insurance agencies, including lead and pipeline management, connected calls/texts/email, AI call summaries, automated follow-up workflows, review requests, and reporting, delivered through our underlying platform provider.

Eligibility and accounts

The Service is intended for licensed insurance agencies and their staff, not individual consumers. You are responsible for the accuracy of your account information and for all activity under your account, including actions taken by your employees and contractors.

Plans, billing, and the launch waiver

Current plans are Essential ($199/month, unlimited users) and Unlimited AI & Essential ($398/month, unlimited users); annual billing is also available at $2,250/year for Essential and $4,500/year for Unlimited AI & Essential. Pricing is shown on our pricing page and may change with notice. Communication, telephony, and other usage charges are billed separately from the monthly subscription. The standard $499 launch and configuration fee is waived for new customers who sign a service agreement by December 31, 2026; taxes and other charges may still apply. Subscriptions renew automatically each billing period until cancelled.

Cancellation

You may cancel your subscription at any time, effective at the end of the current billing period. Except as required by law or as separately agreed in writing, fees already paid are non-refundable.

Acceptable use

You agree to use the Service in compliance with all applicable laws, including telemarketing, texting, and email marketing laws (such as the TCPA and CAN-SPAM), call-recording consent laws, and insurance industry regulations that apply to your agency. You are responsible for the content you send through the Service and for obtaining any consent required from your leads and customers before contacting or recording them.

Your data

As between you and Fox Run, your agency owns the customer data you load into or generate within the Service. You grant us the right to process that data solely to provide and improve the Service, as described in our Privacy Policy. You are responsible for the accuracy and legality of the data you upload.

Intellectual property

Fox Run and its licensors own the Service, including its software, design, and content. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes during your subscription.

Third-party platform

The Service is built on a third-party CRM/automation platform. Availability and certain features may depend on that platform and can change if the underlying provider changes its offering.

Disclaimers

The Service is provided "as is" without warranties of any kind, express or implied. Fox Run does not guarantee that AI-generated summaries are complete or error-free, or that any particular business outcome (such as lead conversion or review volume) will result from using the Service.

Limitation of liability

To the maximum extent permitted by law, Fox Run will not be liable for indirect, incidental, or consequential damages, and our total liability for any claim relating to the Service will not exceed the fees you paid us in the three months before the claim arose.

Termination

We may suspend or terminate access to the Service for non-payment or material breach of these Terms. Upon termination, your right to use the Service ends; provisions that by their nature should survive (such as payment obligations and limitation of liability) will survive.

Governing law

These Terms are governed by the laws of [Insert State], without regard to conflict-of-law principles.

Changes to these terms

We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
